Overview

We are looking for a driven and passionate Assistant to the Executive Director whose mission is to create an organizational culture that is person-centered and responsive and focuses on constant quality improvement in services to individuals seeking mental health treatment. The position will include managing a Duluth office team.

 

Type Full-Time, 40 hours/week, Monday-Friday
Location
 Duluth

Pay $50k-$60k annually

Responsibilities

Assure person-centered, responsive client services, and promote continuous quality improvement by:

  • Compiling and analyzing regular reports on referrals, admissions, ongoing services, disengaged clients, client insurance, etc.
  • Communicating results to the Leadership Team
  • Ensuring compliance with current healthcare and program regulations, data privacy and health care rights
  • Ensuring maintenance of high quality and complete medical records
  • Oversee client insurance information for new referrals, tracking that insurance listed is accurate, active and applies to the appropriate services
  • Compiling and analyzing regular reports on client treatment outcomes and reporting results to the leadership team
  • Conducting other internal audits on a variety of quality improvement goals and objectives assigned by the Executive Director

Provide direct administrative support to the Executive Director by:

  • Organizing and facilitating meetings, conferences, and events and taking minutes as needed
  • Scheduling appointments for internal staff and with outside parties
  • Correspondence and communication on behalf of the directors with vendors, contractors, licensors, certifying agencies, and other organizations

Assure high quality administrative front office supports in the Duluth office by:

  • Interviewing, hiring high quality administrative support staff, training, supervising and evaluating their performance
  • Developing and implementing standard office policies and procedures
  • Assisting with clerical, reception, and other general office duties as needed
  • Approving purchases and ordering medical and office supplies
  • Facilitating program enrollment, re-enrollment, certification/re-certification, and routine audits

 

Qualifications

  • Minimum of 2 years experience in a management position
  • Strong computer skills
  • Ability to create reports, modify, and analyze data, and provide summary reports using spreadsheets and other software platforms
  • Natural ability to creatively and collaboratively problem-solve and trouble-shoot
  • Strong interpersonal skills and ability to effectively communicate and work within a team setting
  • Ability to function with multiple priorities and interruptions
  • Holds high ethical standards and values
